In 2021, SIA “BBS Solutions”, a subsidiary of SIA “BELAM-RĪGA”, upgraded its document management system powered by Microsoft SharePoint. The solution is based on the e-signature server service developed by its technological cooperation partner SIA “Signitico”. The previously available e-document signing possibilities using the Latvian eID card and the Smart-ID solution produced by the Estonian company “SK ID Solutions AS” are now supplemented with the possibility to sign documents using one’s smartphone via the eParaksts mobile application developed by the Latvia State Radio and Television Centre (VAS “Latvijas Valsts radio un televīzijas centrs” (LVRTC)).
eParaksts mobile facilitates the document signing process significantly, since it is no longer required to use a card reader with an eID card to sign a document. The signing of e-documents has been made easier and more accessible, for it can be used not just by the company management or the heads of departments, but also by any company employee on their smartphone. By adding eParaksts mobile, companies get an opportunity to increase their process electronization level and perform remote work safely and comfortably, which, in the present state of emergency, allows the businesses to retain and even increase their work efficiency.
The first client to start using eParaksts mobile solution within the contract management module is AS “Eco Baltia”, the largest (by turnover) Baltic environmental management and waste recycling group of companies, which provides a complete waste management cycle from waste collection and sorting to secondary logistics of raw materials, wholesale trade, and recycling of raw materials. As stated by AS “Eco Baltia” Member of the Board Sigita Namatēva:
“The electronic approval and signature of contracts allow “Eco Baltia” and the companies of its group to reduce the administrative burden of document management, letting us concentrate on the quality of service provision and other essential business processes. The possibility to execute contracts and related documents remotely using the available mobile devices, and quickly and easily at that, is vitally important for the efficient operation of a modern company. Signing the documents on a smartphone with eParaksts mobile ensures that completely.”
Another upgrade of the e-signature server solution is the possibility to use the eSeal (eZīmogs) service offered by LVRTC. The Head of LVRTC eService Department Agnese Brūvere has pointed out that an eSeal added to a document certifies the invariability of the document contents and the document affiliation (origin), as well as demonstrates the precise eSeal affixing time. The contents of the document sealed with eSeal cannot be changed anymore, so both the organization and the client may be sure that the data is correct and the document contents were not modified after affixing the seal. The document recipient can verify the document with eSeal free of charge the same way as the eSigned documents – on the portal eParaksts.lv, in the program eParakstītājs 3.0, or on other sites that have this functionality integrated. eSeal may be used to certify notes, extracts from information systems or registers, certificates, and other documents on the facts that have already taken place.
